Subject: Encoding Level 2 Holdings
All,
NLM and your Regional Medical Library have established the goal to eliminate
all encoding level 2 serial holdings from DOCLINE. Encoding level 2
holdings are serial holdings that do not indicate which volumes and/or years
are owned. Because DOCLINE is unable to route requests properly for
holdings with this encoding level, we are requesting that libraries upgrade
all Level 2 holdings to Level 3 by adding volume and/or year data to the
serial holdings record by the end of 2004.
Level 2 holdings that are not upgraded by December 31, 2004, will be
deleted.
At this time, almost 300 libraries have at least one Level 2 holdings
record. Your Regional Medical Library will contact you within the next two
or three weeks if your library has any Level 2 holdings to be upgraded. It
would be helpful if you would upgrade these holdings as soon as possible.
The majority of the encoding level 2 records were created many years ago in
the old SERHOLD system. Users cannot create Level 2 holdings using DOCLINE
Serial Holdings or OCLC to SERHOLD batch update; however, new level 2
records may be created by the NLM Titlechange program in certain
circumstances. See the FAQ What happens to my holdings when a title changes
(http://www.nlm.nih.gov/services/doc_titlechange.html).
Thank you for helping to make DOCLINE routing work more efficiently and for
keeping your holdings records up-to-date.
