SUMMARY STATEMENT:
This position provides coordination of CME programs and outreach
activities
under the direct supervision of the Director of Medical Education. This
person supports the
activity chairs and planning committees in all phases of course
implementation. The CME Coordinator contributes to the effectiveness
of the overall Swedish CME program by assuring that all work related to
accreditation requirements is performed timely and professionally. The
CME Coordinator works as part of the CME team to assure all events are
handled professionally.
MINIMUM QUALIFICATIONS:
Knowledge of continuing medical education program accreditation, meeting
planning, management skills, processing of speaker and grantor
documentation, and budget tracking.
Education:
Bachelors Degree from a college or university; and two years related
experience
or training; or equivalent combination of education and experience.
Licensure/
Certification:
None required.
Experience:
Two years working in a medically or educationally-related field.
Equipment/
Skills:
Use of Microsoft Word and Access software, office procedures experience,
use of
multi-line phone system; meeting planning skills, continuing education
concepts; medical
terminology.
PRIMARY JOB RESPONSIBILITIES
Organizes planning committee meetings for each conference and outreach
activity
to develop agenda, goals, speakers, and objectives.
Works with pharmaceutical representatives to determine availability of
educational grant support and current interests.
Prepares copy for series, monthly calendar, and conference brochures.
Arranges travel and hotel for faculty. Reserves facilities for programs
and
arranges catering.
Makes any special arrangements for AV equipment, staff, displays,
tables, etc.
Prepares CME materials for posting on the Internet and building CME
recognition
of programs.
Sends confirmation letters to speakers and commercial supporters with
appropriate materials packets; collects and assists in creation of
syllabus materials.
Assists with registration plans and details as part of team; assists in
the
development of integrated registration and tracking system, as well as
Internet registration.
Prepares accreditation paperwork and summaries, assists in training
coordinators
for jointly-sponsored programs, and supports the CME Committee.
Assists in identifying target audience label sources and publicity.
Attends on campus one-hour CME activities and full-day conferences to
assist
speakers, insure smooth flow, collect suggestions for future programs.
Assists with identifying areas for improvement after each activity,
compiling
evaluations and summaries, and writing thank-you letters.
Works closely as a team member on registration and promotion with other
department members.
Maintains all accreditation paperwork for each course, including AMA,
AAFP, and
others as designated appropriate for each activity.
Plans and follows budget for each activity as developed with the DME;
tracks
grants, speaker expenses, and facility costs.
Performs other duties and assumes other responsibilities as assigned.
